14.4 Employee Induction Policy
1. Policy Statement
The company are committed to ensuring that all new starters are inducted into the company in a structured and consistent manner. Our induction policy and checklist provide staff and manager guidance for completing inductions and detail the company intent for inductions.
Inductions are an essential business practice for the company, to ensure that new starters are comfortable, suitable and competent within the workplace and to meet all legal and regulatory requirements in this area.
2. Purpose
The purpose of this policy is to ensure that all new starters are provided with a detailed induction period on commencement of work with the company, ensuring that all company and regulatory policies, procedures and guidelines are covered with new employees. It is our aim to provide new starters with a standardised induction programme, which covers every necessary workplace, business, regulatory and conduct area, as well as providing new employees with the tools and information to carry out their job effectively and efficiently.
The induction policy works in conjunction with the induction checklist, which is completed for all new staff and consists of follow up reviews at weekly intervals for the first employment month. This policy is also tied to our management processes of appraisals, performance reviews and learning & development.
3. Scope
This policy covers all new staff, regardless of duty or duration (meaning permanent, fixed term, and temporary staff, any third-party representatives or sub-contractors, agency workers, volunteers, interns and agents engaged with the company in the UK or overseas), the contents of which are used for every employee induction, to ensure consistency and suitability.

5. Objectives
The company’s employee induction policy has been created to provide managers with a standardised and detailed approach for inducting new starters and also provides new employees with information and guidance for the minimum standards expected by us as a company.
The objectives that the company has with regards to employee inductions and its related programme, is to ensure that: –
- The employee induction programme aids employees in becoming comfortable in the workplace environment and effective in their role quickly and easily.
- Complete an induction checklist during the first working week and gain employee and managers sign-off as to each inducted area of completion.
- New employees are familiarised with the workplace, procedures and protocols during their initial commencement week, aiding in their productivity and confidence.
- We help all new employees to develop the required skills and knowledge needed to do their job and to be compliant with business processes and regulatory procedures.
- The roles and responsibilities of each new employee is made clear and there are plenty of opportunities to ask questions and develop.
- We help new employees to understand how their job relates to the rest of the organisation
- All key policies, procedures and operating documents are read and understood by new employees.
- Follow-up review induction meets are help after weeks 1, 2 and 4, to ensure that the new employee has settled into the workplace and their new job role.

- Allowing managers to delegate, freeing time for key management activities
6. Induction Process
Induction is the process by which new starters to the company are introduced, trained and prepared for starting in their role. Whilst the company set a [1/2/4 week] induction period for each new starter; this is not a fixed time-period and can be increased should the employee or manager see fit. It is our aim to give new employees the opportunity to ask questions and revisit induction requirements up to several weeks into employment and we also utilise an induction checklist to cover the main areas, functions and compliance aspects of the role and company to ensure a complete and integrated start.
The Induction checklist is also used to impart information to new employees when they are likely to be most receptive, which is during set periods outside the usual role or function. This helps to eliminate overloading employees with information during their first weeks, whilst ensuring that all areas are covered.
Our managers/supervisors are trained to ensure that all induction matters have been properly understood during completion of the induction checklist and arrangements are also made for the employee to visit any relevant or associated departments within our company, with which they will/could have regular contact during their duties. At the end of the process, the induction checklist is then signed by the new employee, the inducting manager and the compliance officer and a copy is retained in their personnel file.
7. First Day of Employment
Preparations are made for the arrival of the new entrant prior to their starting day by the assigned inducting manager/supervisor and desks, computers and personnel files are set-up in advance. The induction checklist is used for all new starters, regardless of role or employment duration.
The first day of employment is recognised as being an anxious time for new starters and so introductions to colleagues and department staff are made at the beginning of the day as well as the essential induction checklist areas of facility locations and building access.
8. Responsibilities
The company will ensure that all new staff and staff moving roles and/or departments, are provided with the time, training and support during the induction period. It is common practice for either the HR Manager or the new employees direct Line Manager to carry out the induction; rendering them responsible for ensuring that the minimum standards are met.
